Job Title: Administrative Assistant
Status: 30 hours per week, non-exempt
Reports to: Community Manager

POSITION SUMMARY: Provide administrative support to the Community Manager in the day-to-day administration and operation of the community. Provide a high level of
customer service, professionalism and sense of urgency in the completion of all tasks assigned.

Essential Tasks:
• Acquire and maintain knowledge of Associations’ documents, policies, and procedures, including but not limited to the Articles of Incorporation, CC&Rs, Rules and Regulations, policies and procedures, Reserve Study and the Budget.
• Respond to all homeowner requests, concerns, and possible violations of the Governing Documents, maintain positive communication, including an open line of communication between all parties involved.
• Prepare Seller’s Packages and collect fee. Process Architectural Requests to ARC Committee in a timely manner.
• Answer phone; take messages off voicemail at least twice per day; respond to calls; pass calls on the Community Manager when required.
• Under the supervision of the Community Manager, help respond to correspondence from Board of Directors, Committee members, homeowners, and vendors.
• Provide monthly status updates to Board of Directors in conjunctions with Community Manager report at each board meeting, and at other times when requested.
• Assist with coordination of all community-related meetings, including Board of Directors, Committee meetings, Annual Meeting and Election, Budget Ratification Meeting and other meetings as required.
• Under the supervision of the Community Manager, prepare all related and/or required meeting notices.
• Assist with the writing of the monthly newsletter.
• Under the supervision of the Community Manager, forward items to Website Administrator as well as appropriate Board member for inclusion on Association’s Facebook page.
• For all new owners, prepares all necessary documentation and sends packets of information which may include contact forms, policy manuals, usage calendars, etc.
• Maintain owner, account payables and other files.
• Issue gate remotes and FOBs as needed.
• Oversee Clubhouse rentals; complete agreement with owner and collect Fee and Refundable Security Deposit.
• Under the supervision of the Community Manager, write draft copies of meeting minutes for Board Meetings and Executive Sessions, and other meetings as assigned.
• Ensure accurate contact information for all owners in the billing system; update accurately as necessary.

• Under the supervision of the Community Manager, interact with Community Inspector; use database to write letters of violation to owners; update Board at each Executive Session.
• Maintain inventory of office supplies; notify Community Manager when it is time to order additional supplies.
• Open mail on a daily basis.
• Perform other tasks and projects as assigned.
Job Qualifications Education and Experience:
• Provisional Manager license a huge plus.
• Experience with homeowner associations preferred.
• At least two years of college preferred.
• Minimum of three years proven administrative and customer service required.
• Minimum three years administrative experience required.
• Competency in Microsoft Office, including Word, Excel and Outlook required; experience with Microsoft Publisher a plus.
• Position requires patience and the need to be sensitive to owners and guests needs while having a strong ability to manage sometimes negative situations.
• Ability to multitask on a variety of levels.
• High level of organization and attention to detail.
• Well respected with high degree of integrity and ability to show independent judgment and initiative.
• This position represents the Association in handling complaints; as the Administrative Assistant you will be expected to work as a team with the Community Manager, Handyman, Janitor and Inspector.

• Continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills.
• Willingness to work in the evenings and on a Saturday when requested to do so.
• $15.00 per hour, no benefits, two weeks paid vacation after one year.
